Fall semester is upon us and campus is a hive of activity! As you prepare for the upcoming school year, keep these helpful tips and resources from Human Resources in mind.

Check out the 2024 holiday calendar again

The 2024 holiday calendar is a helpful resource for planning your time off. Labor Day and Election Day are included in the holiday schedule for eligible employees this year.

Update your emergency contact information and work location

Review and update your emergency contact information on your Personal Information page in Employee Self-Service. You can update your work location (and other personal information) on the Update Your Information page of the Human Resources website.

Take advantage of Clemson’s Employee Assistance Program

Submit reimbursements for dependent care spending accounts

With a dependent care spending account, you can get reimbursed for child and adult care costs. If you have a dependent care spending account, remember to submit reimbursement requests! You can use your current funds for expenses incurred between January 1, 2024 and March 15, 2025. You have until March 31, 2025 to request reimbursement from your previous year’s funds. Participants can use these funds for dependents under the age of 13. For more details, see the PEBA MoneyPlus information page.

Think about the development

You contribute so much to Clemson’s growth, and we want to make sure you grow, too. The Professional Development (Pro-Dev) Calendar highlights upcoming professional development opportunities offered by the Office of Human Resources, the Office of Inclusion and Equity, and other areas of the university. The Office of Inclusion and Equity updates the calendar monthly with easy-to-access links to register online through Tiger Training.

At the beginning of each month, the Human Resources Office sends an email to people who have signed up to receive the new monthly Pro-Dev calendar directly. Use this signup form to get on the mailing list!

Sign up to receive your W-2 and 1095-C electronically

Speed ​​up your tax preparation. Choose to receive your W-2 and 1095-C forms electronically instead of by mail. Sign up or change your preference through Employee Self-Service. (Tax Documents -> W-2/W-2 C Consent and Tax Documents -> Form 1095-C Consent).

Check your direct deposit

All faculty and staff are required to have 100% of their take-home pay deposited directly into a bank account. To set up direct deposit, navigate to Employee Self Service and log into your account. Select “Payroll and Compensation” and then “Direct Deposit.” From there, you can read through the important direct deposit authorization message before clicking “Add Account” to set up your direct deposit. Deductions for social benefits in August

For returning nine-month faculty members who have public insurance (health, dental, vision, life and long-term disability) through the SC Public Employee Benefit Authority (PEBA), there is no interruption in coverage during the summer months. To accomplish this, the university must deduct insurance premiums before and after the summer period.

9-month faculty will see insurance premiums forthe whole of August from their August 31st paycheck because most 9-month teachers only receive one paycheck per month and insurance deductions are not processed during the summer months. Regular deductions during each pay period will resume in September.

Best practices for hiring in the fall

Remember to conduct background checks and I-9 forms for all new employees. Departments can complete and submit I-9 forms digitally through PeopleSoft. It is a violation of labor law and university policy to have someone work for the university before these processes are completed. International employees will complete IRS Form I-9 when they meet with OHR. IRS Form I-9 should not be completed at the department level.

Remote work policy within the state

The University allows in-state remote work under the in-state remote work policy if permitted by the individual’s college/division and subsequent departments. The State of South Carolina requires documentation and approval of in-state remote work and must be done through the Human Resources Office. Out-of-state remote work is permitted only in exceptional circumstances and requires prior approval. Supervisors should contact their HR Service Manager for more information on submitting an out-of-state work request.

Supervisors should provide new employees who are not exempt from the work time policy (and who are required to record their time) with instructions and resources for Kronos, the University’s time and leave system.

Best practices for Zoom

Because many of our colleagues are conducting some work and meetings over Zoom, it is important that employees conduct themselves professionally and adhere to all applicable university policies. Zoom or Teams resources should be used only for Clemson University business purposes and not to identify or promote personal issues. Before meetings, select standard background offerings that represent Clemson University or your department. Backgrounds for work meetings should not contain statements, quotes, or images (personal or otherwise) that would detract from our business purpose or the university’s reputation, or otherwise violate Clemson policies and procedures.

Both Zoom and Teams allow you to choose between “standard backgrounds” or a simple blur effect if the background might be distracting. Clemson also has several branded backgrounds available for employees.
